User Role Types in Maxwell

There are 4 different user roles in Maxwell: Loan Officer , Loan Officer Assistant, Processor, and Manager. Each role has their own abilities in Maxwell, some of which overlap. A lender can also be designated as an Org Admin, which provides access to user & pipeline management, and other administrative capabilities. 

Below you will find a description of each role.

Loan Officer (LO)

Loan Officers have the primary function inside of Maxwell, originating loans! Loan officers own the landing page links that borrowers use to apply and are the primary contact on a loan file. 

  • LOs are able to originate loans in their own pipeline
  • LOs can add/edit task for borrowers in their pipeline, including document requests, review & sign requests, verifiations, etc…
  • LOs can add DocuSign credentials to their pipeline to allow for review & sign tasks
  • LOs can edit email and task list templates (if your organization allows)
  • LOs can edit borrower or realtor information on a file
  • LOs appear in the People tab in the borrower view

Key things to note with this role:

  • LOs are cc'd on most notifications to the borrower
  • LO’s cannot be an LO on multiple teams, they can only be an LO on one team
  • LO’s cannot be an LOA/Processor on any other team
  • LO’s can be Managers on other teams, for more information on the Manager role, see Manager section below.

Loan Officer Assistant (LOA)

As an LOA in Maxwell, you have a few extra functions within the platform.

  • LOAs can do anything an LO can do on a file, but when they create new files they must choose an LO pipeline--they do not have a pipeline of their own. They can only create files on behalf of an LO.
  • If DocuSign is connected on an LO pipeline, they can create review & sign tasks. LOAs are not able to connect a DocuSign account to an LO pipeline. 

Key things to note with this role:

  • LOAs receive notifications about borrower actions in a the loan file (uploading docs, starting a file, submitting a loan app, etc…)
  • Filters are available on the dashboard if they are assigned to many pipelines to help narrow down loan file searches. 

Processor

Processors are very similar to LOAs with one key difference - they are unable to create new loan files.

  • Processors can do anything an LOA can do on a file, but they cannot create new loan files. 
  • If DocuSign is connected on an LO pipeline, they can create review & sign tasks. Processors are not able to connect a DocuSign account to an LO pipeline. 

Key things to note with this role:

  • Processors receive notifications about borrower actions in a the loan file (uploading docs, starting a file, submitting a loan app, etc…)
  • Filters are available on the dashboard if they are assigned to many pipelines to help narrow down loan file searches. 

Manager

As a Manager in Maxwell, you have many functions within the platform.

  • Managers can view multiple LO pipelines if they are assigned to them. 
  • Managers view and work on every borrower file, but they will not show up in the Team tab for LO’s or the People tab for Borrowers
  • Just like the LOA/Processor role, they will need to work through a loan officer’s DocuSign in order to create a task to Review & Sign documents.

Key things to note with this role:

  • Managers can also be an LO with their own pipeline.
  • Managers can be a manager on any LO pipeline within their organization.
  • Managers will not be added to any notifications on loan files that are not their own.

Organization Admin

As an Org Admin in Maxwell, you have a few extra functions within the platform.

  • Org Admins can add and remove users from Maxwell.
  • Org Admins can transfer and delete loan files via Pipeline Manager.
  • Org Admins can edit the Loan Application templates for the organization. 
  • Org Admins can edit also Organization templates such as notification emails and borrower task list templates.

Key things to note with this role:

  • Any user with any role type can be an Org Admin. Normally this is given to launch team members and users who need elevated access.
